Start with a clear flow of information. Decide when to share the date, general programme, accommodation options under consideration and directions to the venue. Separate confirmed details from those still being planned. This gives guests a clearer basis for making their own travel decisions.
Do not fill the programme with events alone. Allow time to arrive, check in, get ready and rest. Assuming guests travelling from different places will all be ready at the same moment can create unnecessary pressure. For additional gatherings such as a welcome dinner or farewell, make attendance expectations clear too.
Consider accommodation and transfers together. If guests stay in several locations, transport schedules and meeting points become particularly important. Agreeing in advance who can help with late arrivals or different programme needs reduces uncertainty during the day.
